Auditing Your Agency Tech Stack

Every agency thinks it has a tech stack. Most have a spreadsheet, a shared drive, several browser profiles and one person who knows how it all fits together. That works until it very suddenly does not.

List everything, including the shadow tools

Write down every tool your team touches in a week. Include the personal WhatsApp group, the notes app, the doc someone made in 2023 that everyone still uses. Shadow tools are where your actual process lives, and they are invisible to whoever thinks the process is the official one.

Find the single points of failure

For each item ask: if this vanished on Monday, what stops? If the answer for a Google Sheet is "billing", that sheet is critical infrastructure held together by nothing. If the answer for one staff member's browser profile is "four creators cannot post", that is worse. Both are fixable once you can see them.

Check what happens at the joins

Individual tools rarely fail. The joins between them do, because the joins are usually a human copying something. Listing data typed into a spreadsheet, message counts pasted into a report, prices maintained in two places. Every manual join is a place where numbers quietly disagree and nobody notices until a creator queries an invoice. This is the point of why your tools should work together.

Audit access, properly

Who can log into what, and who left in the last year. Most agencies find at least one former staff member still holding access to something. It is uncomfortable and it takes an afternoon to fix. Do it now rather than after an incident, and move to tooling where access is granted per person so you never have to do this audit blind again.

Measure the tax, not the licence

The cost of a tool is not its monthly fee. It is the fee plus the hours your team spends working around its gaps. A free spreadsheet that costs six hours a week is the most expensive item in your stack. Price everything in hours and the decisions become obvious. Block out two hours this week and write the list. Not the tools you meant to use, the tools you actually use. The gap between those two lists is your audit result.
