Handling Refund and Chargeback Requests Without Panic
The first chargeback feels like an accusation. It usually is not. It is a person clicking a button in their banking app, sometimes because they forgot what they bought, sometimes because someone else saw the statement. Either way, panicking costs you more than the money did.
Know the difference
A refund request comes to you. A chargeback goes to the bank and arrives as a fait accompli, usually with a fee attached. The first is a conversation, the second is a process. Treating a polite refund request as an attack is how you turn one into the other, and the chargeback is always the more expensive outcome.
Say yes more often than feels right
For small amounts, refunding quickly is almost always cheaper than the argument. You keep the fee, you keep the platform metric clean, and you occasionally keep the customer. Save your resistance for the cases that are genuinely worth it. Excessive dispute rates get merchant accounts closed, and that is a far larger problem than a twenty pound refund.
Records are your only defence
If you contest, you need evidence: what was ordered, when it was sent, tracking if physical, the conversation where they confirmed the details. If that lives across three apps and your memory, you will lose. Keep order and message history in one place as a matter of routine, not as a reaction to a dispute. This is one of the practical reasons behind running it like a business.
Prevention is mostly clarity
Most disputes trace back to an expectation gap. The buyer thought the item was worn longer, thought it came with more, thought it would arrive sooner. Write listings that state exactly what is included and how long delivery takes, then say it again at purchase. Boring, specific listings produce fewer disputes than exciting vague ones. Watch for the pattern
One chargeback is noise. The same buyer twice, or several in a month from similar accounts, is a pattern and deserves a different response. Note the details, decline future orders from that source, and move on without making it a personal campaign.
Write your refund position down in one paragraph and put it where buyers see it before they pay. Half your future disputes will not happen, and the other half will be shorter.
