Telling Buyers When You Are Available

Messages arrive at every hour, and it is easy to feel you must answer each one the moment it lands. You do not. What buyers actually want is to know when they will hear from you, so a reply three hours later is fine if they were expecting it. A reply three hours later with no idea whether you are there at all feels very different.

State your hours once

Decide the hours you are usually around and write them down somewhere a buyer sees before they message: your shop description or the top of your profile. Two lines is enough. You are telling people how you work, not making an apology for it.

Give a reply time, not a promise to be instant

Within a day is a reasonable and honest reply time for most sellers. It leaves room for a busy afternoon or a day off, and it is still fast enough that buyers feel looked after. Promising to be instant only sets you up to disappoint.

Say when you are away

A day off, a weekend away or a quiet week are all normal. A one-line note that you are back on a given date keeps orders coming in while you are gone, because buyers can plan around it rather than wondering whether you have disappeared.

Keep it true

Hours only work if you honour them. If you say you reply within a day, reply within a day. Buyers notice when a stated rule matches what happens, and that reliability is worth more than any individual fast answer.

Change them when life changes

If a new job or a new routine moves your free time, update the note the same week. A stale set of hours is worse than none, because it quietly breaks the trust the note was there to build.

Let it take the pressure off

Once your hours are written down, you can put the phone away in the evening without worrying. The buyer already knows when you are back, and the next message will be waiting for you in the morning.
