When a Chargeback Lands on Your Account

A chargeback notice reads like an accusation, and it is easy to respond to it emotionally before you respond to it factually. The bank is not asking whether the buyer was fair. It is asking whether you can prove the service happened the way you say it did, inside a window that is usually shorter than you would like.

The sellers who win these disputes are rarely the ones with the best argument. They are the ones who already had the evidence sitting somewhere before the dispute arrived: a timestamped message thread, a delivery confirmation, a description the buyer agreed to before paying. None of that is dramatic to collect in the moment. It has to already exist.

This is why the boring habit matters more than the clever rebuttal. Keep the conversation on a platform that timestamps it. Keep a copy of what was actually described and sold, not just what was said out loud. If the product is digital, keep a log of when it was sent and to which address, because "I sent it" is not evidence and the bank knows that.

It is also worth accepting early that some chargebacks are simply unwinnable, usually because the buyer is using the bank as a blunt refund tool rather than because anything went wrong. Spending three hours contesting a small one is sometimes a worse use of your time than absorbing it and tightening the process that let it happen. The goal is not to win every dispute. It is to make sure the next one has less room to succeed.

Treat every chargeback, win or lose, as a note to yourself about what your records were missing. The pattern usually repeats before it stops.
